Structure and traceability in document management
For the Swedish company ÖBO, clear and structured documentation is a key part of daily operations. With many projects and numerous stakeholders involved, there are high demands on information being easy to find, understand and follow up. To meet these needs, ÖBO uses iBinder to create structure and traceability in its document management, with customised metadata as a central component.
Customised metadata based on needs
With iBinder’s customised metadata functionality, ÖBO can define which information is linked to drawings, protocols and DoU instructions, and how it is displayed in the system. Metadata can consist of, for example, free-text fields, date fields or dropdown menus with predefined values. To ensure quality and consistency, ÖBO has also chosen to make certain metadata fields mandatory.

Searchability and clarity in projects
This approach provides ÖBO with a clearer structure and improved traceability across projects. Since the metadata is searchable, it is easy to quickly find the right documents, while making information more transparent for all project participants. This creates a shared way of working and reduces the risk of misunderstandings.
Metadata included in exports
When ÖBO exports individual documents or entire projects, the metadata is included, ensuring that structure and context are preserved even outside iBinder. This gives ÖBO an efficient and consistent approach to document management, from daily work to delivery and archiving.
